Finance Manager/Full-Charge Bookkeeper/Office Manager
THE ORGANIZATION: The Northern California Regional Land Trust (NCRLT) assists
landowners, agencies, and other conservation partners in the voluntary protection of land and
other natural resources. The NCRLT is a nonprofit land conservation organization that owns,
manages, and holds conservation easements on more than 42,210 acres in Butte, Glenn, and
Tehama Counties in Northern California. The current NCRLT management structure includes a
volunteer Board of Directors, and five full-time staff: Executive Director; Stewardship &
Conservation Director; Stewardship Manager; Acquisitions Coordinator; and 11-month term
Americorps member assigned to support conservation and watershed acquisitions projects. The
full Board of Directors typically meets quarterly, and monthly as needed. Board Committee
meetings occur throughout the year. The Board determines policy which guides the strategic work
of the organization. The Board of Directors, Board committees and Executive Director, collaborate
to manage the Land Trust’s strategic plan, reputation, and benefits to the communities it serves.

DUTIES AND RESPONSIBILITIES:
Primary Responsibilities
Primary activities include managing all aspects of financial record keeping and reporting, full-
charge bookkeeping using QuickBooks online and assisting with budgeting, financial analysis,
cash flow, annual CPA review or audit, project billing, grant management and other aspects of
NCRLT’s financial management. As staff capacity increases, immediate supervision and task
direction for a part-time Bookkeeper/Office Assistant who contributes to general office operations
and routine bookkeeping tasks, in close coordination with the Executive Director or Deputy
Director.
Primary responsibilities include:
1. Managing financial records management, procedures, reporting requirements, deadlines
2. Managing and operationalizing of filing and office organization, and HR tasks
3. Maintaining current HR forms, a general knowledge of HR laws specific to California, and Labor Law posting requirements.
4. Submitting and tracking payroll and HR benefits, and tracking billable hours and invoices.
5. Assisting in the onboarding process for new hires and Board of Directors members.
6. Managing office vendors, service providers and recurring expenditures.
7. Prepare financial materials for Board and Committee meetings, leading Finance Committee.
Position Responsibilities
• Full-charge Bookkeeping, which includes the maintenance of the business financials in
adherence to the Non-Profit Unified Chart of Accounts, and the current FASB
Accounting Standards Codification.
• Monthly accounts receivable billing
• Produce monthly financial reports for Board meetings and transmit reports to Executive
Director who will provide the reports to the Board of Directors.
• Participate in regularly scheduled check-ins to track income and expenses.
• Support Executive Director with annual budget preparation by drafting preliminary mirror.
• Payroll: submit and process payroll.
• Prepare financial administrative cost budgets for grant funding requests, applications
• Track restricted funds and grant funding.
• Coordinate weekly deposits, assigning bank errands to BOD or staff as needed.
• Assist Certified Public Accountant in preparation and review of annual financial
statements or audit.
• Maintain files: Assist with the Records Retention and organization of office files and
records, including property files.
• Document preparation: Assist in preparing and organizing a variety of Board materials.
• Accreditation standards: Maintain knowledge of LTA Standards and Practices and
initiate adoption of operational changes necessary to maintain Land Trust accreditation.
• Set up and maintain internal control systems, in tandem with staff and BOD members,
and in conforming with accreditation standards for the organization.
• Point person for insurance agent(s). Maintain insurance policies, send reports/updates to
insurance companies as required by law, review all contracts for insurance requirements
and provide Proof of Coverage
QUALIFICATIONS (Knowledge, Skills, and Abilities)
• Associate degree or equivalent experience required (B.A. or B.S. preferred).
• Proven experience as a bookkeeper and/or office manager.
• Relevant academic training in nonprofit finance and knowledge of accounting principles.
• Strong computer skills, including Microsoft Office, Excel, and QuickBooks. Willingness to
learn new programs as needed. A basic understanding of social media is desirable.
• Hands-on experience with office machines (printers, copiers, mail machines).
• Excellent attention to detail.
• Excellent verbal and written communication and problem-solving skills
• Ability to organize, maintain confidentiality, and set work priorities for variety of tasks.
• Passion for land conservation and land trusts’ community-building connections.
• Ability to work effectively with a broad variety of individuals and political perspectives.
• Perform in a professional and personable manner with internal and external clients.
• Ability to work independently, and establish a mutually productive hybrid
work routine.
Interview Procedure and Offer of Employment
An initial interview opportunity will be scheduled for Thursday, September 3rd between Noon and
3:00 p.m., after which an offer of employment may be made to a qualified candidate upon
confirmation of certifications and references, upon request, following the initial interview.
Promotions and pay increases are merit-based, based on role and performance reviews
conducted at 30 days, 90-days, 6 months, and 12 months for the first year of employment, then
at the beginning of each fiscal year post 1-year work anniversary.
NCRLT’s Remote Work Agreement Policy provides for a hybrid work routine to be considered
on a case-by-case basis, included as a part of the 6-month review for this role, and evaluation of
staff performance.
Pay Rate and Benefits
1. Pay Range: $32 to $41/hour ($90,000 annual limit to salary + benefits)
2. Paid vacation: up to 80 hrs./year based on hours worked (40 hrs. carryover limit)
3. Paid holidays: 11 prorated holidays (10 assigned holidays, 1 floating)
4. Paid sick leave: 80 hrs./year (40 hour carryover limit)
5. Additional Benefits: Medical, Dental, and basic term life; 403B Retirement Plan employer (limited) match upon 1 year Regular
The role is expected to be performed in 35 hours per week, primary from the NCRLT office, with
duties listed above intended as illustrations of the various types of work that may be performed.
